How to verify B2B emails before outreach

Verification is a chain of checks with explicit failure modes. Syntax success is not mailbox proof, and a company inbox is not a named person’s verified work email.

Continues into LeadHunt’s free start. The label does not by itself prove delivery of 25 verified personal emails.

Why verification status must stay structured

Outbound cost is dominated by bounces, spam complaints and wasted SDR time. Store verification method or provider, status and checked-at beside every business email. Useful statuses typically include verified, risky, invalid and unknown. Catch-all domains need their own handling: they often accept any local part at the SMTP layer and therefore cannot confirm that a specific person mailbox exists.

LeadHunt’s product rules treat catch-all, unknown, guessed-pattern, invalid and unverified addresses as failing verified-email acceptance. DNS or MX alone does not verify a person’s mailbox. A successful provider check is evidence of that check, not a guarantee of delivery or permission to email.

A practical verification ladder

  1. Normalize and syntax-check the address.
  2. Confirm the domain has sensible MX or equivalent mail routing.
  3. Run a mailbox-level check with your approved method when allowed.
  4. Probe for catch-all behaviour where your stack supports it.
  5. Write status, method and checked-at; never silently overwrite conflicts.
  6. Exclude failing statuses from send and from “verified person email” exports.

Re-check stale addresses on a cadence that matches your risk tolerance. A verified result from last year is not the same as a result from this week. Keep the observation time visible in the UI and CSV.

Named person versus role inbox

Many Swiss and German sites publish info@, kontakt@, office@ or department aliases. Those can be valid company contacts and still fail a decision-maker email requirement. Keep them in a separate field. Only mark a person-email complete when the address is associated with the named professional and passes verification under your policy.

If enrichment returns only a pattern guess, label it as guessed and unverified. Do not promote it to verified because the domain looks corporate.

How verification interacts with company inventory

The live company count on this guide comes from the health snapshot of stored companies. Most of those rows will not have a verified personal email. That is expected. Report distinct populations instead of one vanity denominator: companies, companies with domains, companies with people, published emails, verified emails and person-plus-verified-email pairs.

Tools pages on LeadHunt also expose an email verifier utility for manual checks. Manual tool use is not the same as pipeline verification on every contact before send. Engine and app lanes own send-time gates; this guide does not enable sending.

Operational mistakes that create false confidence

Counting syntax-valid rows as verified; treating catch-all accepts as person proof; zero-filling missing checks; mixing customer backbone addresses into saleable lead exports; and claiming deliverability percentages without stating the 24h sample and exclusions. Avoid each of these in reporting to buyers and to yourself.

When health is down, this page shows the fallback inventory phrase rather than inventing a verification rate. Verification rates belong on operator health and engine stats when those fields are actually populated — not as decorative copy on a how-to page.

The free CTA starts LeadHunt’s existing English free-lead path. Use it to explore the product. Do not expect the button itself to certify twenty-five mailboxes. After signup or preview, inspect verification fields the same way you would for any vendor export. Prefer a smaller verified set over a large unverified file.
